Advice to Treasurers

  • Maintain a good relationship with the Finance Officer. Tell them about your event before or after it’s happened so that they know the money allocated to you is being put to good use.
  • Apply early. The form can be downloaded from the LUU website – you can either print it off or handwrite it.
  • Go systematically through each event and record what can be paid for and the amount. For example:

Do this for each event, writing a total amount as illustrated above. Email out to the committee in case anything else needs adding. The Union does not fund food or drinks, but you can apply for publicity, transport and booking of halls/lecture theatres.

  • Always over-estimate costs as the Union only give you a fraction of what you ask for. Last year we applied for £4000 for the first term and received £900!
  • For anyone who is owed money the procedure for claiming back money is to fill out a claims form [see our website], write them a cheque, and give them strict instructions to cash it within the next two weeks.
  • Our constitution states that no one should spend more than £20 before consulting and obtaining the consent of the treasurer. Ensure this rule is enforced, - if an individual decides to spend more than this they should receive a first warning. If it happens again they will not be reimbursed.
  • In every meeting, have the most recent bank statement to hand, and inform the committe of their financial situation. This makes planning much easier and prevents cheques and fines from the bank.
